UNITED SOLAR

Privacy policy

What we collect, why we have it, who else sees it, and what you can tell us to do about it.

Last updated 22 October 2026. This policy is written to the Protection of Personal Information Act 4 of 2013 (POPIA).

Who we are

United Solar Pty Ltd (registration 2026/816534/07), trading as United Solar, of 105 Willoughby str, Kenmare, Krugersdorp (By Appointment Only). In the words of POPIA we are the responsible party for the information described here: we decide what is collected and why.

Questions about this policy, or about your own information, go to [email protected] or 0828871003. Mark them for the attention of the Information Officer.

What we collect, and why

We do not collect information for its own sake. Every item below exists because some part of quoting, installing or looking after a solar system needs it.

When you ask us for a quote

  • Your name, phone number and email address — so we can answer you.
  • The address of the property — because a quote is for a particular roof, and because we have to drive there.
  • What you spend on electricity, and what you want the system to do — this is what decides the size of the system and therefore the price.
  • The internet address (IP) and browser the enquiry came from — kept with the enquiry to tell a real one from an automated one.

Before we can price it accurately

If you fill in our questionnaire we also collect details of the property and the supply: the roof covering and which way it faces, whether the supply is single or three phase, the main breaker size, who supplies your electricity, what must stay on in an outage, and whether you would like the installation financed. We ask for a budget range because it stops us quoting something you did not want to see. You can leave any of it blank — the estimate is simply less accurate, and we will say so.

If we do the work

  • Quotes, invoices and payments — amounts, dates and what was paid for. We do not store your card details; we have no facility to take a card.
  • Photographs of the property taken on the site visit and during installation — the roof, the distribution board, the cable route, the finished work. They are a record of what was found and what was done.
  • Documents: the signed quote, the Certificate of Compliance, the PV GreenCard, municipal registration papers, warranties.
  • Your electronic signature where you sign something online, together with the date, time and the internet address it was signed from. The Electronic Communications and Transactions Act requires us to be able to show how a signature was made.
  • Readings from your system, if you are on a monitoring or United Care plan — generation, battery state and faults.
  • What you said and what we said: emails, WhatsApp messages and notes of phone calls, kept against your record so that whoever picks up the phone next already knows.

If you apply for finance through us

We record which lender, the amount applied for, the term, the rate and where the application has got to, so that we can follow it up. The application itself is made to the lender, who asks you for their own documents directly and becomes responsible for what you give them. Read their privacy terms, not ours, for that part.

If you work with us

Installer partners and people who refer work to us have a name, company, contact details, banking details for payment, and the compliance documents a contractor has to hold — registrations, insurance, tax clearance.

Who else sees it

We do not sell personal information, and we do not give it to anybody for their own marketing. It is shared only with the people and services the work actually passes through:

  • The installer who does your job. They get what they need to arrive and do the work: your name, number, address and the job pack. They may not use it for anything else.
  • Suppliers, where a part is delivered to your address or a warranty is registered in your name.
  • Your municipality or Eskom, where the installation has to be registered — that is a legal requirement, not a choice.
  • A lender, only where you have asked us to arrange finance.
  • Our accountants and our accounting system (Xero), for invoices and payments, because a company must keep books.
  • The services that carry our messages and hold our files: Meta, for WhatsApp messages; Google, where a copy of job documents is filed in our Drive; our email provider; our hosting company. Some of these store data outside South Africa, which POPIA permits where the receiving country or the contract provides comparable protection.
  • Anyone we are legally obliged to tell — a court order, SARS, a regulator.

How long we keep it

An enquiry that never became a job is kept for two years and then deleted; people often come back a season or two later and it is unhelpful to start again from nothing. Records of work actually done are kept for five years after the last invoice, because the Companies Act and the Tax Administration Act require it, and longer where a warranty or a guarantee is still running — a panel warranty can be twenty-five years, and a warranty claim needs the installation record behind it.

How it is protected

The system is served over an encrypted connection. Passwords are hashed and never stored in a form anybody can read, including us. Keys and tokens for the services above are encrypted. Access to the back office is by named account with permissions set per role, so somebody who only needs to see a schedule cannot see finance. Changes to records are written to an audit trail with who made them and when.

No system is perfectly safe. If personal information is accessed by somebody who should not have it, POPIA requires us to tell both the Information Regulator and you, and we will.

What you can ask us to do

Under POPIA you may, at any time and at no charge:

  • Ask what we hold about you, and get a copy of it.
  • Have it corrected if it is wrong, or completed if it is missing something.
  • Have it deleted where we no longer have a reason to keep it. Where the law requires us to keep a record — an invoice, a Certificate of Compliance — we will say so rather than quietly decline.
  • Object to us using it for a particular purpose.
  • Tell us to stop sending you marketing. Every marketing message carries a way to stop, and you can ask us directly instead.
  • Complain, to us first if you will, but to the Regulator whenever you prefer.

Write to [email protected]. We will answer within 30 days, and we may ask you to confirm who you are first — handing somebody's information to the wrong person is the thing this policy exists to prevent.

The Information Regulator

If we do not resolve it, you may complain to the Information Regulator of South Africa: [email protected], inforegulator.org.za.

Cookies and what the website itself records

This site sets a cookie only to keep you signed in, and only once you have signed in. There is no advertising network on it and no third-party tracking. Our web server keeps ordinary access logs — address, page, time — which is how any web server works and how we find a fault.

If you turn on notifications in the client portal, your browser is registered with our notification service so that a message can reach this device. Turning them off in the portal, or in your browser, ends that.

Children

We do not knowingly collect information about anybody under 18. A solar installation is a contract with the owner or occupier of a property. If you believe we hold a child's information, tell us and we will remove it.

Changes to this policy

If we change how we handle information, we change this page and the date at the top of it. Where the change is significant and we hold your email address, we will tell you rather than rely on you noticing.
